Broadway Medical Clinic seeks an experienced Patient Services, Reception/Scheduler who is capable of greeting patients and/or visitors to the clinic and who can assist patients with their scheduling and appointment needs. The right candidate is an effective communicator, listener, able to build relationships, efficient at handling multiple tasks, managing and reconciling cash, credit and debit cards, and who is familiar with preparing daily bank deposits.
 
POSITION OVERVIEW
The Patient Services Representative I, is a “flex- schedule”, non-exempt position and does require participating in a Saturday rotating shift. While working in this position, you will be expected to meet/greet patients and service their needs to ensure and outstanding first impression of our clinic. 

POSITION TASKS & RESPONSIBILITIES:

Reception & New Patient Registration
  • Request insurance card, demographic information, and identification to verify identity of the guarantor.
  • Present any forms to the patient that need to be signed or updated.
  • Adhere to any alerts in the computer system and respond to them accordingly.
  • Change information as necessary for accuracy within the system.
  • Populate Encounter with the correct status for the patient visit (MVA/WC/Mental Health, etc.)
  • Collect co-payments, deposits, payments on account, and provide receipts for payments.
  • Direct and escort patients to appropriate department or waiting room.
  • Maintain organization on the counters and desk area for clinic appearance.
  • Scanning and logging in non-clinical patient-signed documents.
  • Verify ID and record in chart notes the pick-up for prescriptions and documents.
  • Register new patients.
  • Register a WC/WVA patient and verify claim information and populating the Encounter screen with appropriate status choice. Populate all additional fields as required for such appointments, make a CASE and attach the proper billing information to the appointment, and make copies of all WC/MVA paperwork for the business office.
  • Verify the insurance benefits for all upcoming Internal Medicine/Pediatrics/Derm/Radiology and mental health appointments and record in information in Nextgen.
 
Miscellaneous Support
  • Perform daily balancing of cash drawer (cash, checks, credit and debit cards)
  • Prepare daily band deposits.
  • Open clinic Monday-Friday and rotating Saturdays.
  • Process returned mail.
  • Use blue-slip protocol for nurse patient interactions.
  • Order supplies.
  • Keep printers filled with paper and extra stock handy.
 
QUALIFICATIONS:
  • 1-2 years’ experience working in a medical office setting.
  • Knowledgeable of medical terminology and medical insurance processing.
  • Excellent communication, organization, accuracy and customer service skills.
  • Highly proficient in reading and retaining instructions, basic math skills, and cash handling abilities.
  • Ability to interact with people of varying educational, skill level and socio-economic backgrounds.
  • Experience with Electronic Health Records, NextGen, preferred.
  • Technology proficient, with the ability to use Word, Outlook and Excel.
  • Ability to maintain confidentiality as it relates to individual patients, staff, and clinic business/practices.
